A National Diploma or Bachelor’s degree
in a relevant field (sciences, finance, administration or management)
coupled with four years of experience for the diploma or three years of experience for the degree.
A postgraduate qualification will be an added advantage.
Experience in grants/programme/project management.
Experience in higher education will be an added advantage.
Knowledge of the Department of Higher Education and Training (DHET)’s University Capacity Development Programme and the underpinning frameworks.
Proficiency in MS Office
Knowledge of ITS system will be an added advantage.
Duties
The incumbent will be responsible for coordinating the administration of the New Generation of Academics Programme (nGAP) and other assigned SSAUF programmes to ensure adherence to the SOPs and university policies and procedures.
Coordinate the day-to-day operations of the grant-funded programme, ensuring alignment with institutional goals, programme objectives, grant guidelines and institutional policies.
Support and coordinate the preparation, collation, and submission of grant plans and proposals, ensuring alignment with funder requirements and the University’s strategic objectives.
Maintain financial databases of all cost centres and monitor expenditure to avoid under/over expenditure and ensure compliance with budgetary guidelines.
Monitor and track the performance and progress of the programmes or projects to ensure deliverables are met and are aligned with the plans and the SOP.
Coordinate the change management process and other grant-related administrative matters.
Consolidate and maintain documentation related to the programmes’ activities for reporting and audit purposes.
Prepare reports to support proper oversight of the assigned grants or programmes.
Coordinate the preparation and submission of the required reports to the Department.
Support the review and development of internal processes and procedures for implementing the funded programmes within the University.
Support the development of resources, tools and systems to streamline and improve grant administration.
Provide guidance and support in interpreting DHET SOPs and compliance requirements.
Assist the Manager in the internal and external audits of grant-funded programs and the implementation of corrective actions based on audit findings and recommendations.
Mitigate grant or programme risks and report or escalate to the respective Managers as required.
Act as a central point of contact for coordination and engagement with relevant stakeholders.
Handle grant-related enquiries and escalate to the respective managers and director as required.
Coordinate all activities, including meetings and workshops on the university programmes.
Facilitate the induction of Programme participants and ensure they understand the programme and relevant University policies.
Contribute to the development and implementation of strategic and operational plans for the Grants Management department.
Participate in committees and other university initiatives as assigned.
Perform other ad-hoc activities as required by Management within the framework of the role.
